Viewing Correspondence History

The Correspondence History List grid displays rows for letters/notices sent to the currently displayed air carrier/operator. The grid uses a row and columns to present data for each letter/notice item, including (from left to right):  Sent On, Letter Name, Method, Email Content, Signed Document, Form 4507, Form 6410, To, Created By, Signed By, and Sent By. You can also use the screen to View a Letter/Notice Email and View a Letter/Notice PDF file. For Document Viewer procedures and details, see “Using the Document Viewer”.

To View Correspondence History:

  1. Using the Operator Menu, click the Correspondence History link.

The system displays the Correspondence History screen and Correspondence History List grid which displays rows for sent letters and data in columns (from left to right):  Sent On, Letter Name, Method, Email Content, Signed Document, Form 4507, Form 6410, To, Created By, Signed By, and Sent By.

Note:  The search functions are not available for the PDF link columns (i.e., Email Content, Signed Document, Form 4507, and Form 6410).

  1. Use the Correspondence History List data as needed to review sent letters/notices and open emails and documents (See also: “Viewing a Letter/Notice PDF” and Using the Document Viewer):

    1. Sent On:  Date and time the letter/notice was sent using the eAIM system.

    2. Letter Name:  Displays the letter name for the sent letter/notice (such as Initial Registration Request or Cancellation of Insurance).

    3. Method:  Displays the transmission method for the sent letter/notice (such as Print or Email)

    4. Email Content:  If the letter/notice was emailed, displays the View icon and link () that can be used to open an image of the email within the Document Viewer.  See “Viewing a Letter/Notice Email”.

    5. Signed Document:  Displays the View icon and link () that can be used to open a PDF of the signed letter/notice document within the Document Viewer.

    6. Form 4507:  If the letter/notice included a PDF copy of the filing’s Form 4507, displays the View icon and link () that can be used to open the filing form within the Document Viewer.

    7. Form 6410:  If the letter/notice included a PDF copy of the filing’s Form 6410, displays the View icon and link () that can be used to open the filing form within the Document Viewer.

    8. To:  the letter’s recipient.  If emailed, the email address of the letter’s recipient.  If printed, the system uses the company mailing address.

    9. Created By:  The name of the eAIM user who created the letter/notice (in Last Name, First Name format).

    10. Signed By:  The name of the person who signed the official letter/notice (in Last Name, First Name format).

    11. Sent By:  The name of the eAIM user who emailed or mailed the letter/notice (in Last Name, First Name format).
